Wages and Hours

37hrs and 195.36 per week (Pro rata as role is term time only). 8.30am - 4.30pm Mon-Thurs, 8.30am-4pm Friday. 30 mins for lunch daily.

Job Description

Administration

  1. Provide administrative and organisational services to the school and trust
  2. Liaise with pupils, parents/carers
  3. Liaise with other staff and external agencies
  4. Analyse and evaluate data and information and run reports
  5. Undertake word-processing and IT based tasks including operation of relevant equipment and advanced ICT packages
  6. Organise meetings and take notes
  7. Process forms, returns, etc., including those to outside agencies
  8. Contribute to the planning and development of administrative procedures and systems
  9. Receive enquiries made to the Trust and determine the appropriate priority of response including answering queries by telephone, email and face to face, and ensure that they are dealt with effectively and efficiently

Finance

  1. Operate the trust’s computerised accounting systems including PSF under the direction of the Finance Officer, including such activities as processing orders for goods and services, inputting payments and receipts to trust accounts
  2. Preparing any trust monies and cheques received for banking deposits on a regular basis. Assisting in the banking processes in accordance with the trust’s security procedures relating to banking of monies
  3. Process authorised orders ensuring they are logged on the trust’s accounting system and dispatched in accordance with the internal priorities and deadlines set by the Finance Officer
  4. To contact suppliers of goods and services to obtain information relating to prices, orders, deliveries and payments as requested
  5. To obtain verification of receipt of goods or services from members of staff in accordance with the recognised policies
  6. To assist in the stock-taking and replenishment of miscellaneous stocks and stationery as directed by the Finance Officer
  7. To enter details of all authorised invoices for payment on the trust’s computerised accounting system and assist in the production and despatch of BACS payments to ensure all invoices are paid prior to due dates
Individuals in this role may also undertake some or all of the following:
  1. Organise arrangements for school visits and events
  2. Monitor pupil attendance and run reports
  3. Undertake personnel administration, such as DBS checks
  4. Monitor and manage a limited range of stock within an agreed budget
  5. Assist with producing marketing and promotion material for the school
  6. Operate the schools computerized system SIMS
  7. Liaise with kitchen staff, lunch time supervisory assistants, caretakers including the reporting and monitoring repairs to fabric and equipment
  8. Oversee children’s illnesses and accidents, inform parents and staff as appropriate ensure that records are kept
